AI & Digital Tools Policy

Technology is constantly changing, and artificial intelligence, machine learning, automation, and AI-assisted features are now incorporated into many of the digital tools used by businesses, designers, writers, marketers, social media platforms, stock-media providers, editing programs, and other online services.

Because of this, HeartFelt Promos has established the following policy regarding AI and the promotional services we provide.

HeartFelt Promos Does Not Provide AI-Free Certifications

HeartFelt Promos does not certify or guarantee that promotional materials, written content, graphics, videos, stock assets, or other materials created or used as part of our services are completely free from AI involvement.

We also do not provide certifications that materials are:

• 100% human-created
• 100% human-written
• created without generative AI
• created without AI-assisted tools
• free from AI-generated or AI-assisted third-party assets
• incapable of being identified or flagged as AI by a detector or other third party

This applies to all HeartFelt Promos services, packages, add-ons, and custom service agreements.

Why HeartFelt Cannot Provide These Guarantees

AI and machine-learning technology are increasingly incorporated into everyday digital tools and services.

These may include, but are not limited to:

• design and photo-editing software
• writing and editing software
• spelling and grammar tools
• stock photography and stock-media libraries
• video-editing software
• social media platforms
• search engines
• website platforms
• productivity software
• marketing and scheduling tools
• third-party templates, graphics, mockups, video clips, and other creative assets

Third-party assets may also have uncertain or incomplete creation histories, and not every platform or creator identifies whether AI or AI-assisted tools were involved in producing an asset.

For these reasons, HeartFelt Promos cannot independently verify or guarantee the complete technological provenance of every element used within a digital marketing project.

AI Detectors and Third-Party Accusations

HeartFelt Promos does not guarantee the results of AI detection software.

AI detectors may produce false positives or false negatives, and a detector result does not necessarily establish how a particular piece of content was created.

HeartFelt therefore cannot guarantee that written content, graphics, photographs, videos, or other promotional materials will never be:

• flagged by an AI detector
• identified by a third party as AI-generated
• accused of containing AI-generated material
• questioned by a publisher, organization, platform, reader, or other outside party

Clients are responsible for determining whether HeartFelt's services are compatible with the AI policies, publishing agreements, professional standards, organizational rules, or other requirements that apply to them.

Client Approval Options

Clients with concerns about particular materials may request an approval-based workflow when available.

Depending on the service, this may include:

• supplying their own photographs, stock images, mockups, video clips, or other assets
• reviewing and approving outside visual assets before HeartFelt uses them
• reviewing finished graphics before publication
• reviewing written content before publication
• reviewing videos before publication
• requesting permitted revisions under the terms of their package
• using third-party detection or verification tools of their own choosing before approving material

Client approval does not constitute an AI-free certification or provenance guarantee from HeartFelt Promos.

Approval simply gives the client greater control over the materials ultimately published or promoted on their behalf.

Third-Party and Paid Assets

When a client requires specific stock photographs, mockups, video clips, music, templates, or other licensed materials, the client may purchase and provide those assets directly.

HeartFelt may also locate or purchase assets when appropriate. Any paid third-party assets that are not specifically included in a package may require an additional fee.

HeartFelt cannot guarantee the complete creation history or technological provenance of third-party assets.

Internal Business Processes

The specific tools, systems, methods, workflows, and production processes used by HeartFelt Promos are proprietary business information.

HeartFelt does not provide detailed disclosures of its internal production methods or certify the use or non-use of individual technologies within those processes.

Clients With Strict No-AI Requirements

Clients who are subject to a publisher, employer, professional organization, contest, association, or other policy requiring certification that no generative AI or AI-assisted technology was used should carefully review those requirements before purchasing HeartFelt Promos services.

If your agreement or professional obligations require a vendor to provide a written certification of no AI use, HeartFelt Promos may not be the appropriate service provider for your needs.

We would rather be clear about this before beginning a project than make a promise we cannot responsibly guarantee.

Technology will continue to change. Our commitment to serving our clients professionally will not.

By purchasing or renewing a HeartFelt Promos service, package, add-on, or custom agreement, the client acknowledges and accepts this AI & Digital Tools Policy.
